Write a home inspection report clients can follow

A home inspection produces a lot of detail. A useful report gives that detail a clear place, so a client can understand what you observed and what you recommend next.

Keep the finding together

Give each finding a location, a plain description of what you observed, and the next step you recommend. Keep its photographs and captions beside it. A photo of a damaged shingle is easier to understand when the reader can immediately see where it was taken and what it illustrates.

Use severity labels consistently. The summary should help the client find the observations that deserve attention, while the full report keeps the supporting detail.

Reuse wording with care

A comment library saves time when it starts the sentence. It still needs to describe this home. Review locations, conditions and recommendations before publishing, especially when you start with a saved comment or an AI suggestion.

Document areas you could not access as well as what you inspected. A missing observation and a recorded limitation tell different stories.

Make the handoff deliberate

Review the summary, captions and client details before publishing. Decide whether the report should wait for payment, a signed agreement, or both. Clients should see a clear next step when they open the link.
